Excel to PDF

PDF

Turn an Excel workbook (.xlsx) into a PDF as Excel prints it — number formats, borders, page setup — in your browser.

Loading tool…

Excel to PDF prints an Excel workbook to a PDF the way Excel prints it — an invoice, a budget, a price list, a timesheet — without Excel and without the file leaving your computer. Every cell shows what it shows in Excel: dates, currency, percentages and negative numbers in red follow the workbook's own number formats, and a number too wide for its column prints as ####, as Excel would. Fills, borders, fonts, merged cells and alignment come across; so do each sheet's page settings — paper size, orientation, margins, scale or fit to pages, the print area, the rows repeated at the top of each page, manual page breaks, and the header and footer with page numbers. A sheet too wide for the paper can be fitted to the page width in one click. Calibri, Cambria, Arial and Times New Roman are drawn in open fonts with the same widths. The preview is the PDF itself, and beside it a list of anything not printed — charts, pictures, colours set by conditional formatting.

An .xlsx file. It is read in your browser; nothing is uploaded.

The preview is the PDF itself. Tick Fit the columns to the page width if a sheet is too wide for the paper.

  3. 3
    Save PDF

Every visible sheet, in order, as one PDF under the workbook's name.

Frequently asked questions

Is my spreadsheet uploaded to make the PDF?

No. The workbook is read and printed to PDF in your own browser, and the file is saved straight to your device. Accounts and salaries stay where they are.

Will the numbers look the same as in Excel?

Yes, as far as the workbook says how: dates, currencies, percentages, thousands separators, decimals and red negative numbers follow each cell's number format, and a number too wide for its column prints as #### as in Excel. The values are the ones Excel last saved — nothing is recalculated — so a formula in a file made by a program, not saved in Excel, prints empty, and the tool tells you.

My sheet is split over several pages — can it fit on one?

Tick Fit the columns to the page width: each sheet becomes one page wide, made smaller to fit, as Excel's Fit All Columns on One Page does. Without it, each sheet prints with its own page settings.

Are page breaks, print areas and headers kept?

Yes: the print area, the rows set to repeat at the top of each page, manual page breaks, paper size, orientation, margins, scaling, and the header and footer with page numbers.

What is not printed?

Charts and pictures, the colours set by conditional formatting, and comments. The tool lists any it finds beside the preview. Hidden sheets, rows and columns are left out, as Excel leaves them out.

What about an old .xls file?

A .xls from before Excel 2007 is a different format and is not read here. Open it in Excel, Numbers or LibreOffice, save it as .xlsx, and convert that.
